Role Overview
We’re looking for a Recruiting Coordinator (Contractor) to join our Talent team at Instant.Lawyer, Instant.Tax and Instant.Accountants. This helps keep our hiring process running smoothly. In this role, you’ll be the go-to person for scheduling interviews, staying organized, and making sure every candidate has a great experience from start to finish.
Instant.Lawyer is growing quickly, and that means there’s a lot of hiring happening across the company. You’ll work closely with recruiters, hiring managers, and candidates to keep everything on track — coordinating interviews, juggling shifting calendars, and making sure all the small (but important) details are covered.
This is a hybrid role based in our New York office. We ask that you’re available to be onsite during in-person candidate interviews, as a key part of the role involves making sure things go smoothly for both candidates and interviewers on the ground.

What You'll Do

Coordinate with recruiters and hiring managers to deliver a smooth and professional candidate experience.

Manage interview logistics, including scheduling, reminders, meeting prep, and room setups (for in-person days).

Troubleshoot scheduling conflicts and maintain flexibility across shifting calendars.

Keep our Applicant Tracking System up to date with accurate candidate info.

Support recruiting ops initiatives focused on enhancing process efficiency.

Collaborate with teammates across the Talent team to maintain consistency and quality in our hiring efforts.
What You Have
-
1–3 years of experience in recruiting coordination, administrative assistance, customer service, or operations in a fast-paced environment.

Comfortable managing multiple moving parts in parallel with strong organizational skills.

Excellent written and verbal communication—especially via email and Slack.

Independent thinker who adapts well to change and stays calm under pressure.

Passion for organizing, structuring workflows, and helping others succeed.
Bonus Points

Experience with Ashby or another modern Applicant Tracking System.

Prior experience in legal tech, professional services, or fast-growth startups.

Exposure to recruiting operations projects, process design, or ATS optimization.

Ability to bring structure and scalable processes in evolving environments.

Warm, engaging presence—especially valuable during in-person candidate touchpoints.
Work Location & Schedule Expectations

This is a 6-month hybrid position based out of our New York office.

You’ll be expected to work onsite on days when in-person candidate interviews are scheduled, and collaborate with the team both in-office and remotely
Compensation Range
This is a 40-hour-per-week, 6-month contract role. The position is classified as a 1099 contractor arrangement.
The hourly pay range is $45–$60, depending on factors such as experience and location. Final compensation will be based on your skills, background, and alignment with the role’s responsibilities and requirements.
